Quotations, customer decisions, invoices and recorded receipts provide the commercial record around a service. A purchase order or accepted quotation records an agreement; it does not mean money has been received.

The reviewed estimate revision, approved service items and terms stay connected to the customer’s decision. Staff can see the agreement behind the work when preparing the invoice or answering an account question.

An Approval Has a Specific Basis

The quotation gives the customer a defined service and price to review. Revised work needs its own clear decision. Retaining the agreement helps staff explain what was approved when preparing the invoice.
